Position Summary:
Responsible for supporting the Office Manager and project managers. Performs standard administrative functions, coordinates project activities, manages schedules, and ensures project deliverables are completed on time and within budget.

Responsible for supporting the Office Manager and project managers. Performs standard administrative functions, coordinates project activities, manages schedules, and ensures project deliverables are completed on time and within budget.
Essential Functions:
- Project/Service Job Setup in COINS
- Project Record Keeping and Data Entry
- Notice to Owners
- Purchase Orders
- Budget Entry
- Billing
- Handle all secretarial duties including, but not limited to, faxes, distributing e-mails, answer phones, and schedule and coordinate meetings.
Additional Job-Related Duties:
- Comply with federal and state law, regulations, and all Company rules.
- Participate in online and in-person training and other educational opportunities to develop knowledge, skills, and abilities.
- Service Order and Project Billing
- Obtain and Manage Requirements for Payment from Clients
- Track receivables and assist in collections.
- Any other job-related activities requested by immediate supervisor.
Education/Experience Requirements:
- High school diploma or equivalent required. Associate or Bachelor’s degree preferred.
- Minimum of two years’ experience in the secretarial field preferred.
Physical Requirements:
- This position requires long hours sitting and using office equipment, including telephones and computers and may also require some light lifting of files and materials and carrying checks, mail, and other documentation to different departments from time to time.
- The position may also involve some repetitive motions of the hands, wrists, and elbows.
- This position is normally performed in an office or jobsite office work environment, which does not subject the employee to the elements. The noise level in the work environment is usually moderately quiet.
